TCLAW Advisor Information

How Do I Access T-CLAW Navigate360?

• Faculty and Staff:
Log in to MyTSU. From the MyTSU home page, locate and click the T-CLAW icon. Once you are directed to the T-CLAW Navigate360 webpage, select Faculty/Staff Login. You will then be directed to your T-CLAW Navigate360 home page.
• Students:
Students will follow the same steps by logging in to MyTSU and selecting the T-CLAW icon. Once on the T-CLAW Navigate360 webpage, select Student Login. The student portal provides tools and resources specifically designed to support students, including advising appointments, academic support, and other student success resources.

• Why don’t I see my assigned students on my Home screen?
To view your assigned caseload in T-CLAW Navigate360, students must first be assigned to you as advisees in the system. If you do not see your assigned students, verify that the appropriate advisor assignments have been completed.

• How can I tell if a student has already been added to a Student List? From the student’s Overview page, select Add to Student List on the right side of the screen. Checked boxes will indicate the Student Lists to which the student has already been added.

• A student recently dropped a course. Why is the course still showing on the student’s schedule in T-CLAW Navigate360?
Student information is updated through a nightly data feed between the university’s student information system and T-CLAW Navigate360. Because the systems do not update immediately, recent schedule changes may not appear in T-CLAW until the following day.

• What should I do if the information still has not updated?
If the information remains incorrect after the nightly system update, please report the issue through the appropriate T-CLAW support process and include the student’s T-number and a brief description of the concern. Do not include sensitive student information that is not necessary to resolve the issue.

• If I set my availability to “Forever,” what prevents a student from scheduling an appointment too far in advance?

Appointment scheduling restrictions are established by location to control how far in advance students can schedule. For example, if the scheduling window is set to 30 days, students will only be able to view and schedule appointments within the next 30 days. The window automatically moves forward each day, so advisors do not need to manually open additional appointment dates.

• If I set my availability from 9:00 a.m.–4:00 p.m., but I have a meeting, how do I prevent students from scheduling an appointment during that time?

Use your Outlook calendar to block the time for your meeting. When your Outlook calendar is synced with T-CLAW Navigate360, that time will appear as unavailable when students attempt to schedule an appointment.

• How do I prevent students from scheduling appointments during my lunch break?

There are two options. You can create separate availability periods in T-CLAW Navigate360—for example, 9:00 a.m.–12:00 p.m. and 1:00–4:00 p.m.—leaving your lunch period unavailable. You can also create a recurring lunch event on your Outlook calendar and mark that time as busy, so it appears unavailable to students.

• Is the synchronization between Outlook and T-CLAW Navigate360 automatic when an appointment or event is added to my calendar?

Yes. When your calendar integration is active, changes made in Outlook or T-CLAW Navigate360 should automatically sync between the systems. Advisors should periodically confirm that their calendar synchronization is working properly.

• I don’t normally schedule appointments with students. Do I need to set my availability?

No. If students do not need to schedule appointments with you through T-CLAW Navigate360, you do not need to establish availability. Availability can be added at any time if your responsibilities change.

Group Advising & Appointment Campaigns

•  How do I schedule appointments for a group of students?

Conduct an Advanced Search for the appropriate group of students or use an existing Saved Search or Student List. Under Actions, select Schedule Appointment if you are scheduling a specific appointment or Appointment Campaign if you want to offer students multiple appointment options and track outreach and appointment outcomes.

• Can I create a group advising appointment that allows multiple students to register for the same time?

Yes. Create Individual Availability for the desired date and time. Under “Will you be meeting with multiple students?” select the maximum number of students who may attend the appointment.

You can then create an Appointment Campaign for the targeted student population and direct students to the designated appointment time. When students schedule the appointment, T-CLAW Navigate360 will identify the time as a group appointment.

Drop-Ins & No-Shows

• Our office offers drop-in advising during peak periods. How do we check in students for drop-in appointments?

Students arriving during designated drop-in periods can be checked in through the T-CLAW Navigate360 Appointment System and added to the appropriate advising queue. Staff should follow their area's established check-in and queue-management procedures.

• How do I reset a student’s no-show count if the student has exceeded the limit and can no longer schedule an appointment?

Navigate to the student’s Appointments tab. Under No-Show Appointments, locate the no-show notification bar and select the Reset option. Advisors should follow established departmental procedures before resetting a student’s no-show count.

• How do I request access?

Staff and Faculty can request access by completing the User Access and Role Request Form.

Students automatically receive access once they have registered for their initial courses.
